It is absolutely essential that our properties fulfil expectations as we offer a duty of care to our tenants through safe and reliable housing.
Rent
Rents are payable by the tenant monthly to our client account. You will be paid direct from this account and we will prepare, at regular intervals or to suit your accounting period, an income and expenditure account which you can send to HMRC.
Deposit
We collect a deposit from the tenant to safeguard against potential damage. At the end of the tenancy, we will inspect the property and the costs of any work attributed to the tenant will be deducted from the deposit. Please note that this would not be a survey and you would be invited to attend as Landlord.
Tenant
We will find a suitable tenant for your property, take up comprehensive references with credit checks. Usually, we conduct up to 8 viewings which have been filtered from sometimes as much as 30 calls for a viewing. We do not agree any Tenancy without the knowledge and instructions of the Landlord. The Renters' Rights Act 2025 (received Royal Assent 27 October 2025) transforms England's private rental sector, with the first phase of reforms in effect from 1 May 2026. Key changes include the ban on Section 21 "no-fault" evictions, the abolition of fixed-term tenancies for periodic ones, a ban on rental bidding wars, and stronger protections against discrimination.
Tenancy Agreement
We will prepare a legal agreement under current legislation to suit your particular circumstances. In general, this will be for a period of not less than 6 months and then renewable on a month to month basis. This gives you the flexibility to re-occupy the house after giving the tenant two months notice to quit. Similarly the tenant may terminate after the initial period by giving one months notice. Please note as at 1st May 2026, changes to the way in which tenancies are created and managed are subject to change.
Rates and Services
The payment of water rates, council tax, gas, electricity, internet and telephone bills are generally the responsibility of the tenants unless we offer an inclusive rent. We manage the changeovers and ensure that each party are invoiced from these suppliers for the time spent at the property.
Repairs
As a Landlord, you are responsible for all repairs to the property with the exception of window glass or other breakages caused by the tenants. Small repairs can be carried out by our contractors, or ones nominated by you, and their charges deducted from your account. We will always ask for instructions before commencing any large scale repairs.
Tax
Profit/Loss
Property you personally own
The first £1,000 of your income from property rental is tax-free. This is your ‘property allowance’.
Contact HM Revenue and Customs (HMRC) if your income from property rental is more than £1,000 a year, up to £2,500.
You must report it on a Self Assessment tax return if it’s more than:
- £2,500 after allowable expenses
- £10,000 before allowable expenses

Fully Managed Service
Our Full Management Service is specifically designed for landlords who do not wish, or are not able to become involved in the day-to-day letting and management of their properties. This service does not seek to exclude the landlord from involvement with his own property, but rather to act as a buffer zone between owner and tenant.
As part of this service and upon your instructions Dean Estate Agents Lettings will:
- Advise on all aspects of the letting, including a rental valuation
- Market the property to its maximum exposure
- Carry out accompanied viewings at the property
- Fully reference prospective tenants to include credit searches
- Arrange the Energy Performance Certificate
- Arrange the Gas Safety Check and receipt of the relevant certificate
- Organise an Electrical Safety Check if necessary
- Arrange insurance if required
- Prepare a detailed Inventory and Statement of Condition – please ask for a quote
- Draw up the Tenancy Agreement, arrange signing and key handover
- Collect the deposit and monthly rent payments
- Consider the Landlord's best interest at all times
- Lodge the deposit in order to meet the legal requirements
- Produce a monthly statement of account of rentals paid for tax purposes
- Regular inspections of the property
- Liaising with Landlord, Tenant and any relevant tradesmen over necessary repairs
- Prepare invoices from contractors for Landlord inspection
- Inspection of the property to check for damages before deposit release
- Minimizing any void rental periods of the property
Let Only Service
The Let Only Service appeals to Landlords who would like to manage their own property but who would wish to benefit from our expertise in finding a suitable tenant.
As part of this service and upon your instructions Dean Estate Agents Lettings will:
- Advise on all aspects of the letting, including a rental valuation

- Carry out accompanied viewings at the property
